Shopify and Dynamics 365 Business Central

Microsoft Dynamics 365 Business Central + Shopify Implementation

Your Shopify store should not be a standalone system sitting beside your ERP. We integrate Shopify into Business Central and build one connected commerce environment, covering product and price management, customers, orders, inventory, fulfilment and accounting.

If you already have a Shopify store, we integrate it. If you need one built, we build it and integrate it in the same project. If you need Business Central as well, we implement that too.

Scope in detail

What we implement

Every area below is configured to your business rather than switched on at defaults. This is the part that decides whether the integration holds up once real orders start arriving.

Product and catalogue management

One catalogue, owned in Business Central

Sync catalogue management between Business Central and Shopify so duplicate data entry disappears and customers always see accurate product information.

Business Central → Shopify
  • items
  • product descriptions
  • images
  • categories
  • inventory availability
  • locations
  • price
  • sale price
  • price per customer

Inventory management

Business Central stays the source of truth

Customers get accurate availability while inventory continues to be managed where it belongs. Configured to how your locations and warehouses actually work.

  • multiple BC locations
  • location mapping to Shopify
  • available inventory
  • inventory changes
  • safety stock
  • multi-location inventory
  • store and warehouse stock
  • availability rules

Customer and account integration

No duplicate customer records

Shopify customers link to Business Central customers, so finance and operations can see commerce activity from inside the ERP instead of two systems side by side.

  • customer creation
  • customer updates
  • contact details
  • billing and shipping addresses
  • customer numbers
  • customer groups
  • customer specific prices
  • B2B customer data

Shopify orders into Business Central

The order lifecycle, end to end

Shopify orders post into Business Central and follow the standard sales process through to a posted invoice.

Shopify order → BC sales order → shipment → invoice
  • order creation
  • customer identification
  • product mapping
  • quantity
  • unit price
  • discounts
  • taxes
  • shipping cost
  • payments
  • fulfilment
  • shipment status
  • tracking
  • returns and refunds

Pricing and promotion

One pricing owner, not two

eCommerce pricing gets difficult once you have multiple customer types, price levels, promotions or channels. We design the pricing process so ownership is defined rather than improvised.

  • retail pricing
  • customer pricing
  • B2B pricing
  • customer groups
  • sales pricing
  • promotional pricing
  • discounts
  • price lists
  • volume pricing

Order management and shipping

Fulfilment status back to the customer

Your Shopify fulfilment process is joined to Business Central, and fulfilment status and shipping detail are written back to Shopify so customers stay informed.

Order received → BC processing → pick and pack → shipment → Shopify fulfilment

Returns, refunds and adjustments

The most commonly skipped part of an integration

Returns are the area most integrations ignore until it hurts. We define and implement the returns process so transaction, inventory and finance records stay consistent.

  • Shopify returns
  • refunds
  • partial refunds
  • order adjustments
  • return quantity
  • inventory handling
  • BC credit memos
  • finance reconciliation

Automation and monitoring

Sync that runs without being watched

Synchronisation is scheduled per object on the Business Central job queue, with error logging and monitoring, because hourly item sync and near real time order sync are rarely right for the same business.

  • job queue design
  • sync intervals per object
  • error logging
  • failure handling
  • alerting
  • reprocessing

Shopify Business Central data flow

What moves between Business Central and Shopify

Direction matters more than most people expect. Getting it backwards on customers or inventory is the most common reason a Shopify ERP integration has to be rebuilt later.

Implementation approach

Six stages, in this order, every time

We start by understanding the business rather than by connecting two systems. Each stage has a gate you sign, and the payment schedule follows the same gates.

01. Discover

We document how the business actually runs today, on both sides, before anyone touches a setting.

  • current Shopify processes
  • Business Central processes
  • product structure
  • price rules
  • inventory model
  • customer model
  • order process
  • fulfilment process
  • returns process
  • financial considerations

02. Design

We design the integration and solution architecture and answer the four questions that decide whether it survives contact with production: which system owns which data, what needs to synchronise, when synchronisation happens, and what the plan is when something fails. This is how an integration problem is stopped from becoming an operational problem after go-live.

03. Configure and develop

We configure Business Central and Shopify and build the integration modules and customisations your processes need. Where it makes sense we use the capabilities Microsoft already provides and extend from there rather than replacing them.

04. Test

Testing is done at full process level, not interface level. Your team signs off each scenario by name.

  • new product
  • product update
  • inventory update
  • new customer
  • order from existing customer
  • new customer order
  • discounted order
  • multi-line order
  • partial shipment
  • full shipment
  • cancelled order
  • return
  • refund

05. Go live

We manage the transition to production and stay online with you through it.

  • data validation
  • configuration check
  • integration activation
  • user readiness
  • go-live support
  • transaction monitoring

06. Support and optimisation

We do not consider the job finished at go-live.

  • integration issues
  • Business Central changes
  • Shopify changes
  • new business requirements
  • performance and process improvement
  • reporting
  • additional channels
  • future integrations

Honest answer first

Do you need more than the native Shopify connector?

Microsoft includes a Shopify connector with Business Central at no extra licence cost, and for a lot of businesses it is the right foundation once it is configured properly. Most integration vendors will tell you it is never enough, because they sell middleware subscriptions. We will tell you when it is enough, and we will tell you in discovery rather than after you have paid.

Native connector as the foundation

Configuration is the work

Extension or custom build needed

Where we build beyond it

Where a gap is real, we build it as a Business Central extension or use our own x2x integration products, and we price that separately so you can see exactly what the extra capability costs.

Why x2x eCommerce

More than just connectivity

A successful Shopify and Business Central integration takes more than joining two APIs. It takes knowledge of eCommerce, ERP, inventory, finance and fulfilment held in one place. That is what we do.

End to end capability

Shopify storefront design and development, Business Central configuration and customisation, and the integration between them. One team covers the whole scope.

Business process approach

Rather than asking whether it is possible to move a piece of data, we ask what the right way is for the transaction to run in your business.

Implementation flexibility

Use your existing Shopify storefront or have us design and build a new one. Start with the integration and extend later.

Business Central experience

AccSoft Consulting Group has been a Microsoft Dynamics partner since 2000. That depth is what lets us design the integration around the ERP’s processes rather than against them.

Integration is what we do

x2x eCommerce was founded in 2015 to connect POS, ERP, eCommerce and accounting systems. We publish on Microsoft AppSource and on the Intuit QuickBooks App Store.

Frequently asked

Business Central Shopify implementation questions

It depends which of the four options you need. Integration only, against an existing Shopify store and an existing Business Central, starts at $14,500. A full commerce implementation covering the Business Central rollout, the storefront build and the integration starts at $48,000. Published market pricing for comparable Shopify ERP integration work sits at $15,000 to $30,000 for a single entity with a standard catalogue, and Business Central implementations are commonly quoted at $40,000 to $75,000 for mid-market scope before any eCommerce work. We fix the number after discovery, in writing, before build starts.

No. The native connector is a first party Microsoft extension included with Dynamics 365 Business Central online, with no per order fee and no monthly middleware subscription. What you are paying us for is the implementation: discovery, design, configuration, development, testing and go-live.

Yes, and many of our engagements are introduced by Dynamics partners for exactly that reason. In that arrangement we take the Shopify and integration scope, share the test plan and cutover schedule with your partner, and hand over documentation at the end. If you do not have a partner, or you want one team accountable for the whole thing, we can take the Business Central implementation as well.

No. Configuration and testing happen in a Business Central sandbox against a Shopify development store, so your live store keeps selling. The only scheduled interruption is a short freeze window at cutover, usually outside business hours, and it is written into the go-live plan you approve.

Yes. Orders can be brought in from the online store, Shopify POS and Shopify B2B, and B2B companies with company catalogs and market specific pricing are supported. We configure the customer and company mapping rules so POS and B2B orders land against the right Business Central customers rather than a catch-all account.

We tell you in discovery, in writing, before you commit to the build. The common gaps are kitting and bundles, real time cart availability, several non-Shopify channels in one flow, and legacy POS systems. Where a gap is real we quote the Business Central extension or the x2x integration product separately, so you can see what the extra capability costs on its own.

Yes. Support and optimisation is the sixth stage of the engagement, not an upsell after it. That covers integration issues, changes on either the Business Central or the Shopify side, new business requirements, performance and process improvement, reporting, additional sales channels and future integrations.
